What is a role-based or team mailbox?

A role-based mailbox or a team mailbox (Often known as a shared mailbox) is used when multiple people need access to the same mailbox. They are also used for roles where it is important that the role has access to all old emails, and the contact address stays the same.

Email in your role-based or team mailbox is separate from email in your personal mailbox but can be accessed from the same place.

It is important to understand that mail in a role-based or team mailbox will be kept after you leave your role, and other people may be given access.

Who can access a role-based or team mailbox?

Access to a role-based or team mailbox is assigned based on your official scouting roles, and must be recorded and recognised by Scouts Victoria. Scouts Victoria IT Team can change who has access to role-based or team mailboxes.

Can I request a role-based or team mailbox?

It depends. Scouts Victoria is rolling out role-based or team mailboxes as part of our Microsoft 365 roll-out.

Role-based or team mailboxes are only assigned to designated roles and functions, and different roles and functions will become available over time.
