Youth Onboarding Process


Fees are listed on Group Admin page on Extranet.
1. Annual cost of joining a youth member (pro rata as of time of joining)
2. Joining fee
Sections:
Indicate Full or Not Full. Numbers 15+ for Joey Section and 25+ for other Sections
This can be altered by MST only with request from a District or Region Commissioner by emailing memberservices@scoutsvictoria.com.au
Both fees and available Sections are listed on the website.
Enquiry to Join occurs by:
1. Scouts Victoria Website
2. Direct enquiry at Hall via QR code (Takes them to website join or trial page)
3. If the Section is full, they will be directed to next available open Group. Full Groups/Sections are greyed on the website
4. The Group Leader can still send an individual invite to trial, from Group Admin Page on Extranet Youth Trial
5. Group Leader can still generate an invite to join even if full
We will explain how to manage youth trials later in this document

What a Parent sees:
From the website, a parent will choose a Group from their Postcode. They will then select an age range and click the
‘Begin Trial or Join’ button.

After two nights trial or two weeks, an automatic check in email is sent to parents from the Group Leader, this will contain a hyperlink if they want to join now.
After three nights trial or three weeks, an automatic email from the Group Leader is triggered for a decision from parents.
Contains link to register and this will take them back to original trial page where they choose ‘register now’.
If a parent is unsure, they are instructed to contact the Group Leader of Member Services Team
An extension of 3 weeks can be applied
An email is sent from the Chief Commissioner welcoming youth to Scouting, including detailed Welcome to Scouting Guide.
An email is also sent to the Group leader and Section Leaders informing them of the registration.
Parent commences OMA (First GL approval stage skipped)
If there is no response from parents after seven days, a last call ‘Are you continuing with Scouts’ email is sent from the Group Leader.
If the youth aren’t continuing - parents are asked to complete a short survey.

We will automatically extend the trial to the start of the next term is someone applies 2 weeks prior to a school holiday period
