1. How can we sign our group up to start using SpacetoCo?

2. How much does it cost to use SpacetoCo?

  • SpacetoCo operates on a percentage fee basis for the bookings made through the platform, typically ranging from 5% to 7% of the booking value. Additionally, there is a payment gateway transaction fee for all transactions. To accommodate for these costs, we recommend increasing your prices by 10% to ensure your facility remains unaffected.

3. How do I receive payments from bookings through SpacetoCo?

  • Funds from bookings are deposited monthly, simplifying financial administration processes and facilitating easier account reconciliation. Casual hirers pay up front, Regular hirers pay monthly by direct debit. 

4. Can we choose which bookings to accept?

  • Yes, all bookings must be approved by those managing the account before they are confirmed. This ensures you maintain control over your facility and can decline bookings that may not align with your requirements.

5. How many people can manage my account?

  • Each group is initially allocated two spots on the software: one for the Group Leader (GL) and one for the Hall Bookings Person. Additional members with a Scouts Victoria O365 account can be added by emailing a request to bookings.support@scoutsvictoria.com.au.

6. How do I remove an adult leader from our account if they are no longer managing hall bookings?

7. Can I use SpacetoCo in addition to other services like Airbnb?

  • SpacetoCo is a standalone booking system for community spaces. Utilising alternative booking services alongside SpacetoCo may result in double bookings and potential reputational damage to your facility.

8. Can I take bonds for bookings?

  • SpacetoCo offers a bond service that can be applied to bookings requiring extra security. A small fee is associated with this service, so it should only be utilised when necessary and not applied to all bookings.

9. Can I manage my campsite with SpacetoCo?

  • Yes, your SpacetoCo account can be configured to manage your overnight capacity alongside your community space. To enable this feature, please contact SpacetoCo by emailing info@spacetoco.com.

10. Can SpacetoCo manage recurring bookings?

  • Yes, SpacetoCo can manage recurring bookings using the Regular Customers settings. Recurring customers will be direct debited the booking amounts monthly for facility usage.

11. Can I input my Scout Groups into the booking system to avoid clashes with our Scout use?

  • Absolutely! Scout Groups can be entered into the booking system as regular bookings, ensuring compatibility and preventing clashes with your Scout activities.

13. Can I use SpacetoCo for managing campsite bookings?
SpacetoCo can be used to manage smaller campsites. (E.g. small campsites attached to Scout Halls).
