Management Portal Frequently Asked Questions (FAQ)

Management Portal Frequently Asked Questions (FAQ)

Answers to common questions about using the ScoutHealth Management Portal, including viewing member profiles, setting up activities, granting access, and running reports. For step by step help, see the how to guides in this section.

What is the Management Portal?
The Management Portal is the part of ScoutHealth where authorised users view and manage the health and medical information of the members they are responsible for. It is not Leader only. Any authorised user with the right access can use it.

How do I log in?
Go to management.scouthealth.com.au and sign in with your Scouting credentials, then open Dashboard > ScoutHealth > Management Portal.
What can I do in the Management Portal?

You can view member health and medical profiles, set up activities and add participants, assign activity admins, grant and revoke access for other Leaders, and build and export Smart Reports.

Does the Management Portal handle consent?

No. ScoutHealth holds health and medical information only. Activity and event consent is managed separately.

How do I view a member's health and medical information?

Search for the member by name or Reg ID, then click View Profile. You will be asked to confirm you are authorised, tick the confirmation box, and enter a brief reason for access before you can continue. See the guide "How to Access and View Member Profiles".

Why do I have to give a reason for access?

Health information is sensitive, so every time you access a member's profile you confirm you are authorised and record why. This is kept in the audit log to keep members' information secure.

How do I see a member's date of birth?
Open the member's profile and click Show DOB.
How do I create an activity or camp?
Go to Activities, click + New Activity, name it, set the start and end dates, then select the applicable formations and click Create Activity. See the guide "How to Add a New Activity".
How do I add participants to an activity?
Open the activity, click Participants, then use Search & Add Participant for individuals or Add Multiple Members to add whole Formations. See the guide "How to Add Participants to an Activity".
What are the activity admin access levels?
There are four: Viewer, Standard admin, Full-scope admin and Owner. Choose the level that matches what the person needs to do. Full-scope admins can manage participants across the activity's entire Formation scope.
How do I add an admin to an activity?
Open the activity, click Activity Admins, then Search & Add Activity Admin, choose the role to assign, select the member and click Add Selected. See the guide "How to Add an Admin to an Activity".
How do I give another Leader access to a Formation?
Go to Formation Access > Grant Access, search for the Leader, select the role, add the formation, set the date access begins, then click Grant Access. See the guide "How to Grant Leader Access".
How do I revoke someone's access?
Go to Formation Access > Granted Access List, find the member, click the Remove action and confirm Revoke access. See the guide "How to Revoke Leader Access".
What is a Smart Report?
A Smart Report lets you build a custom report of member information by setting conditions and choosing which fields to include, then export it as a CSV or PDF. You will be asked to enter a reason for running the report, which is recorded in the audit log. See the guides "Creating and Exporting a Smart Report" and "Viewing a Smart Report".
